Document management

Document management, which involves archiving documents and managing server space, is a very familiar topic with IT departments.

Too often, however, CAD/BIM documents are handled the same way as any other document format (Office, PDF, etc).  There are specific aspects to consider with BIM and CAD drawings, mainly related to the graphical nature of the file formats and the software used to open the documents—important factors to take into account in a document management process.

Cutting down on paper

Some of our clients have challenged themselves to cut down on the amount of paper (often in the form of drawings) piled up in engineers’ and architects’ offices.

You always want to keep the original documents for a certain amount of time, given the copyright on professional drawings and the legal nature of the documents. However, no one ever said that you had to drown under all that paper!

Saving a digital copy in a document management system is an effective way to:

  • maintain easy access to the documents
  • keep them safe
  • share them easily

Access for all

Scanning paper drawings is only one aspect of the documents management process. For several companies, keeping master drawings (or BIM models) up to date is a daily challenge. But even more important: What is the point of having an up-to-date drawing if no one can access it?

 

The sharing tools available in Autodesk Vault (namely Thin Client) enable quick and easy access to the information stored in DWG drawings, as well as Revit models, via a web portal.

 

The publishing tools in Vault automatically generate a new DWF version for each page in an AutoCAD file or each view in a Revit model (including 3D). As we already know, DWF format is the most effective in terms of accessing information contained in the model, while keeping file sizes manageable.
